Privacy Policy

Effective date: October 13, 2026

This Privacy Policy explains how VisibilityMD (“VisibilityMD”, “we”, “us” or “our”) collects, uses, shares and protects personal information when you visit visibilitymd.com (the “Site”) or contact us about our services. By using the Site you agree to the practices described here.

1. Information We Collect

Information you provide. When you submit the contact form, email us or call us, we collect the details you give us, such as your name, work email address, company or practice name, type of organization, website address, phone number if you share it, and the content of your message.

Information collected automatically. When you visit the Site, our web server records standard log data: IP address, browser and device type, pages requested, referring page, and the date and time of each request.

Cookies. The Site uses cookies that are necessary for it to work, for example to keep a form submission secure. We do not currently use advertising cookies. If we add analytics or advertising tools, we will update this policy before doing so.

2. Protected Health Information

The Site is not designed to receive protected health information (PHI) or any patient data. Please do not include patient names, medical details or other health information in any form, email or message you send us. Any PHI handled as part of a client engagement is governed by a separate written agreement, not by this policy.

3. How We Use Information

  • To respond to enquiries and requests
  • To provide, explain and improve our services
  • To send service-related communications
  • To keep the Site secure and prevent abuse
  • To comply with legal obligations and enforce our agreements

We do not use your information for automated decision-making that produces legal or similarly significant effects.

4. Legal Bases for Processing

Where data protection law requires a legal basis, we rely on: your consent, where you have given it; the need to take steps at your request before entering into a contract, or to perform a contract; our legitimate interests in running and securing our business and responding to enquiries; and compliance with legal obligations.

5. How We Share Information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only with:

  • Service providers that host the Site, deliver our email and provide domain and security services, who may use the information only to provide those services to us
  • Professional advisers such as lawyers and accountants, where needed
  • Authorities or other parties where the law requires it, or to protect our rights, our users or the public
  • A successor organization in the event of a merger, acquisition or sale of assets, subject to this policy

6. International Transfers

We work with clients in the United States, the United Kingdom, Canada and Australia, and our service providers may process information in other countries. Where personal information is transferred across borders, we take reasonable steps to make sure it remains protected as required by applicable law.

7. Data Retention

We keep contact form messages and correspondence for as long as needed to handle your enquiry and any work that follows, and afterwards for as long as required for legal, accounting or reporting purposes. Server logs are kept for a limited period for security purposes. You can ask us to delete your information at any time.

8. Security

We use reasonable technical and organizational measures to protect personal information, including encrypted connections (HTTPS) and restricted access to our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your Rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of California and other US states with privacy laws have the right to know what personal information is collected, to request deletion and correction, and not to be discriminated against for exercising these rights. Residents of the United Kingdom and the European Economic Area also have the right to lodge a complaint with their data protection authority.

To make a request, email info@visibilitymd.com. We may need to verify your identity before acting on a request, and we will respond within the time required by law.

10. Children

The Site is intended for businesses and professionals. It is not directed to children under 16, and we do not knowingly collect personal information from children.

11. Third-Party Links

The Site may link to websites we do not operate. We are not responsible for the content or privacy practices of those sites, and we encourage you to read their privacy policies.
